Gemini for Google Workspace in a UK business: what is included, what it costs, and when to add Claude or ChatGPT anyway.

For a UK firm already on Google Workspace, Gemini is now included in the Business plans rather than sold separately: Business Standard, at £11.80 a user a month on annual billing before VAT, includes Gemini in Gmail, Docs, Sheets, Slides and Meet, with the Gemini app and NotebookLM. Workspace’s data position is that prompts and content in Gemini for Workspace are not used to train models and are covered by the Workspace terms and DPA. That makes Gemini in Workspace the right default for drafting, summarising, meeting notes and questions over your own Drive in a Google firm, at no extra cost. Firms still add Claude Team or ChatGPT Business, at about £15 to £19 a seat, where they need the strongest reasoning on long documents, a coding agent, or a shared project library the team lives in. Test the actual tasks on both before paying for the second.

Google folded Gemini into Workspace’s Business plans in 2025 and raised the plan prices at the same time, so a firm on Business Standard already pays for it. In the UK, Business Standard is listed at £11.80 a user a month on an annual commitment or £14.00 flexible, before VAT, and includes Gemini across Gmail, Docs, Sheets, Slides and Meet, the standalone Gemini app, and NotebookLM for questions over uploaded sources. Business Plus and Enterprise add more. Check the pricing page for your plan, because the inclusions differ by tier and the figures move.
| Where | What Gemini does | Typical use in a small firm |
|---|---|---|
| Gmail | Drafts, summarises threads, finds messages | Reply drafts, thread catch-up |
| Docs | Drafts, rewrites, summarises | Proposals, letters, policies |
| Sheets | Formulas, tables, analysis from a prompt | Quick analysis without a specialist |
| Meet | Takes notes, summarises, translates captions | Meeting notes with the consent rules observed |
| Gemini app and NotebookLM | Chat; questions over your uploaded sources | A first knowledge assistant on a folder |

The data position
Google states that Gemini for Workspace does not use customer prompts, content or generated responses to train its models, that interactions stay within the Workspace boundary, and that they are covered by the Workspace terms, data processing addendum and existing certifications. That is the same category of answer as Claude Team and ChatGPT Business, and it is materially better than the consumer Gemini app on a personal account, which is where staff drift if the firm does not switch the Workspace feature on. The admin console controls which users have Gemini and which connectors it may use.
Where Gemini in Workspace is enough
For most Google firms, most of the time. Drafting and rewriting in the documents the firm already uses; summarising threads and meetings; questions over a Drive folder through NotebookLM; the Sheets analysis that used to wait for someone who knew formulas. The advantage is that it is where the work already is, with the firm’s permissions, at no additional cost, and with no second tool to govern. Switch it on, adopt the one-page policy, run a session per team on their own documents, and measure a first process before deciding anything else.
When to add Claude or ChatGPT anyway
Three cases. When the work is long-document reasoning, contracts, technical reports, complex proposals, and a side-by-side test on the firm’s own documents shows a clear quality gap. When the firm needs a coding agent for its own software, which is Claude Code’s ground. And when the team wants a shared project library with standing instructions and templates that it lives in, which is what Claude Team’s projects and ChatGPT’s custom GPTs provide. The test is the same as always: the ten tasks the team does most, run on each tool, scored blind. Pay for the second seat only where the gap is real and the task is frequent.
What a Google firm should not do
Leave Gemini switched off in the console while staff use the consumer app on personal accounts, which is the shadow-AI position with the tool already paid for. Buy a second assistant for everyone before testing whether Gemini covers the tasks. Turn on Meet note-taking without the consent and notice rules in place. And build a knowledge assistant on a third-party platform when NotebookLM over a well-kept Drive folder would answer the first hundred questions.
Common questions
Is Gemini included in Google Workspace?
Yes, in the Business and Enterprise plans since 2025. Business Standard in the UK is listed at £11.80 a user a month annually before VAT and includes Gemini in Gmail, Docs, Sheets, Slides and Meet, plus the Gemini app and NotebookLM.
Does Gemini train on our Workspace data?
Google states Gemini for Workspace does not use customer prompts, content or responses to train its models, and that they are covered by the Workspace terms and DPA. The consumer Gemini app on a personal account is a different position.
Gemini or ChatGPT for a Google Workspace business?
Gemini first, because it is included, in the documents the firm already uses, with the firm’s permissions. Add ChatGPT or Claude where a blind test on your own tasks shows a real gap, or for a coding agent or shared project library.
Can Gemini answer questions about our own documents?
Yes, through NotebookLM over uploaded sources and through Gemini’s access to Drive with the user’s permissions. For a curated, audited assistant with sources across many document types, a built knowledge assistant is the next step.
Is Gemini in Workspace GDPR compliant?
Google acts as processor under the Workspace DPA, with no training on content and the existing certifications. Record it as a processor, adopt the policy, and observe the consent rules for meeting notes.
What does it cost to add Claude Team to a Google Workspace firm?
About £15 to £19 a seat a month on annual billing, on top of Workspace. Add it only for the roles and tasks where the test shows the gap.
On Google Workspace and not sure what to switch on?
We configure Gemini in the console, adopt the policy, run a session per team and test the ten tasks against Claude and ChatGPT so you only pay for a second tool where it earns it.
