WhatsApp automation with AI for a UK business: what Meta allows, what each message costs, and what to build first.

The WhatsApp Business Platform lets a business send and answer messages from software on its own number, which is where AI enquiry answering, reminders and chasing pay best because people reply to WhatsApp when they ignore email. Meta’s rules shape the build: a message a business starts must use a template approved in advance and categorised as marketing, utility or authentication, each priced per message in the UK; replies within 24 hours of a customer’s message are service messages; people must have opted in; and Meta enforces its messaging policy with number bans. Our own experience running a recruitment platform’s WhatsApp confirms one rule sharper than the documentation: a single number shared across several businesses is treated as abuse, so each business needs its own WhatsApp Business Account. The first automations worth building are confirmations and reminders, enquiry answering with escalation, and chasing applications or quotes, all with a person reachable in every conversation.

How the platform works

A business registers a WhatsApp Business Account with a verified business and a number, and connects through Meta directly or a business solution provider such as Twilio or 360dialog, which adds a monthly fee and a small per-message markup. Software then sends and receives on that number. Messages the business initiates must use templates submitted to Meta and approved in advance, in one of the categories Meta defines; free-form replies are allowed inside a 24-hour window after the customer last wrote. An AI assistant sits behind the number, reading incoming messages, answering from your systems, and handing to a person when it should.

What messages cost in the UK

Meta prices business-initiated messages per message by category and country. In the UK, marketing templates are the most expensive category at a few pence each, and utility and authentication templates a fraction of that; Meta announced that from 1 October 2026 it charges per business message including replies within the 24-hour window, so read the current pricing page before modelling a volume. A provider adds its markup and subscription. For a firm sending a few thousand messages a month the WhatsApp bill is tens of pounds and the model cost behind the answers is less, so the running cost of a WhatsApp automation is dominated by the marketing category if used, and cheap otherwise. State it per message before go-live, as with any feature.

The rules that get numbers banned

Meta enforces its messaging policy with quality ratings and bans. Sending marketing without opt-in, high block rates, templates that do not match their approved category, and unsolicited outreach all lower the rating and lead to restrictions. The rule we learned running a recruitment platform’s WhatsApp at scale is that one number used on behalf of several different businesses is treated as abuse: every client business needs its own WhatsApp Business Account and number, verified in its own name. PECR applies alongside Meta’s rules for marketing messages to individuals, so the opt-in is a legal requirement as well as a platform one.

The three automations worth building first

Confirmations and reminders: bookings, appointments, deliveries and interviews confirmed on WhatsApp with a reply path, and reminded the day before, which is a utility template and the cheapest way to cut no-shows. Enquiry answering: a customer writes, an assistant grounded in your systems answers within seconds inside the service window, books or quotes where it can, and hands to a person with the conversation attached when it cannot; it says it is an AI and a person is always reachable. Chasing: applications, quotes and documents chased on a schedule with a human-sounding message and a real reply, which in recruitment is the difference between a candidate placed and a candidate lost. Each is a first implementation at £4,000 to £15,000 fixed, integrated with your calendar, CRM or ATS.

What to decide before building

Whose number: the business’s own, verified. Which provider, or Meta direct. Which templates, submitted early because approval takes time. What the assistant may do unattended and what goes to a person. The opt-in wording and where it is captured. Retention of conversations, which contain personal data. And the per-message cost model at your volume, including the October 2026 change. With those decided, a first automation is live in weeks.

Common questions

Can a business automate WhatsApp messages in the UK?

Yes, through the WhatsApp Business Platform on the business’s own verified number, using approved templates for messages it starts and free-form replies within 24 hours of the customer’s message, with opt-in for marketing.

How much does WhatsApp Business messaging cost?

Per message by category in the UK: marketing highest at a few pence, utility and authentication a fraction of that, and service replies free until Meta’s October 2026 change to per-message charging. Providers add fees. Read Meta’s current pricing page.

Why did our WhatsApp number get banned?

Usually marketing without opt-in, templates misused, high block rates, or one number used for several businesses, which Meta treats as abuse. Each business needs its own account and number.

Can an AI answer customers on WhatsApp?

Yes, within the service window, grounded in your systems, saying it is an AI, with a person reachable and an escalation path. It should not send marketing on its own initiative.

What is the best first WhatsApp automation?

Confirmations and reminders on utility templates, because they are cheap, expected by customers, and cut no-shows measurably. Enquiry answering and chasing follow.

Does GDPR apply to WhatsApp automation?

Yes. Conversations are personal data with a retention period; marketing needs PECR opt-in; the provider is a processor; a DPIA is sensible at volume.

Want WhatsApp answering and chasing on your own number?

We run WhatsApp for a recruitment platform and build the same for clinics, agents, trades and agencies. The fixed-price WhatsApp AI Assistant answers, captures enquiries and hands over on your own number for £795; chasing and integrations beyond that are quoted as a build.
